brokerWOLF Email Template - Recommendation Request Setup

This article describes how to set up a template in brokerWOLF to automate recommendation requests based on a closed transaction.  

Email: 

Users must first ensure their brokerWOLF program is set up to send emails. Email Options can be set up on the Interface tab of the Company Profile (E.1.1).  Here they can enter their Outgoing Mail SMTP address, and specify whether emails are sent from the User or the Company email address.



Letters:

In the brokerWOLF Standard Letters menu option (I.L), you have the ability to add/edit letter templates which can be merged with information from the individual transactions and sent utilizing the Letters button visible in each Transaction (2.1).  We have provided the appropriate merge codes to populate required fields utilizing the content you provided. 

If you would like the administrators to send a letter to both buyers and sellers, you will need to add two letter templates, one for the each with the appropriate merge codes. At the end of this document are templates with the merge codes to populate the required fields.  These templates can be copy and pasted into the Standard Letters (menu option I.L), then edited further by the user as desired.



Reminders: 

To remind administrators to send the emails, they can set up File Requirements in the program (menu option I.3.5).  This is beneficial for reminders or notifications for tasks to be completed before or after closing the transaction. For example, users could set up a File Requirement, such as ‘Send recommendation request to client’, which would need to be marked as completed prior to finalizing the transaction. By making the File Requirement ‘Required to Close’, if the requirement has not been completed, a warning message will block the user from Finalizing the Transaction until the requirement is complete.



Sending Emails: 

In order to utilize the mail merge features, users must include the Buyer and Seller contact information including email address on the People tab of the Transaction (2.1).  When the user is ready to generate a letter click on the Letters button and select the desired letter template from the list. 


The letter will appear on the preview screen and will populate with information merged from the Transaction.  Once the letter is displayed you have the ability edit if necessary, then select the Screen button to preview the letter and select additional options: 


Once the preview is displayed on the screen, users can click on the Email icon to send the letter via email.



From the Email window, users have the ability to select the contacts on the Transaction to send the email to from the Insert Contacts drop-down. Once they have selected all recipients, they can click OK then proceed to Send.


Once the email is sent, it will show as coming from either the staff member who issued it, or the office based on the Company Profile settings in the program.  To change email settings, navigate to the Company Profile (E.1.1) and on the Interface tab edit the Email Options section.
